Fabric Roll Packing List: 8 Essential Buyer Checks

Fago Textile buyer guides · 17 October 2026

Why bulk buyers need detail beyond the total weight

A fabric roll packing list connects the physical rolls in a shipment to the order your warehouse and cutting room expect. A single total in kilograms cannot identify which colour, article or dye lot is inside each package. Agree a roll-level record before dispatch, then use the same identifiers during receiving and production planning.

This guide covers a practical checking workflow for wholesale knitted fabric shipments, including mixed articles and repeat deliveries. The International Trade Administration packing-list overview explains that a packing list identifies package contents, weights and measurements. The checks below apply that general idea to fabric buying; agree the final document format with your supplier and logistics team.

1. Match the fabric roll packing list to the order

Check the purchase order reference, supplier article codes and shipment reference. Use the same names and units as the approved order, or include a clear mapping if internal codes differ. Separate shipped quantities from the balance still due so a partial release is not mistaken for the full order.

For recurring supply, label the release or delivery sequence. A dated revision number helps the buyer, warehouse and forwarder work from the same document. If the list changes after review, ask for a revised version and a clear description of the changed packages.

2. Give every roll a unique identifier

Each roll should have an identifier that appears both on its physical label and in the receiving record. Agree how duplicate or unreadable labels will be handled. A roll number is most useful when it remains connected to the article and lot information throughout storage and cutting.

For the fabric roll packing list, request one row per roll when your warehouse needs that level of traceability. If rolls are grouped into larger packages, include the package identifier too. This allows the receiving team to find a roll without opening and recounting every unrelated package.

3. Keep colours and dye lots identifiable

List the colour name or code and the relevant dye-lot reference. Ask the supplier to explain any split across lots before dispatch. The cutting team can then decide how material should be allocated under its approved shade-control procedure.

A matching colour name does not replace the approval record. Keep links to your approved reference and bulk shade decisions, following the lab dip and bulk colour approval guide. If body fabric and rib travel together, make their article and lot identities distinct.

4. Separate net fabric weight from packaging

Identify the net fabric weight and the gross packed weight, with the units clearly stated. Clarify whether gross figures are reported per roll, per outer package or for the entire shipment. Include cores, wrapping and pallets consistently in the agreed packing-weight calculation.

Do not substitute gross shipping weight for net fabric quantity when reconciling a purchase quoted by net kilograms. Similarly, a fabric roll packing list should distinguish measured lengths from calculated estimates. Our fabric cost and unit-conversion guide explains why GSM and width matter when estimating metres from kilograms.

5. Check the article specification and roll format

Make the article reference traceable to the approved composition, nominal GSM, finished width and finish. Include those details on the list where they help receiving, or refer to the controlled specification that contains them. Avoid repeating an outdated specification in a new shipment document.

State open-width or tubular format and the agreed roll or fold presentation. For single jersey, fleece and matching components shipped together, give each item its own line group rather than combining unlike fabrics into one unexplained total.

6. Reconcile roll, package and shipment totals

Sum the rows by article, colour and lot, then compare them with the shipment summary and the agreed order release. Check the physical package count separately from the roll count: one package may contain several rolls, so the two totals need not be equal.

An illustrative fabric roll packing list might contain three rolls at net weights of 24.8, 25.2 and 25.0 kg. Their net total is 75.0 kg. If each is packed separately and the combined packaging weighs 1.5 kg, the combined gross weight is 76.5 kg. These numbers are examples, not Fago Textile packing specifications.

7. Confirm handling and loading information

Provide package dimensions and the agreed packing arrangement to the transport planner. Do not assume a fixed number of tonnes will fit every truck or container. The actual plan depends on the packed dimensions, arrangement and the transport limits confirmed for that shipment.

Review destination handling requirements and how packages will be identified on arrival. For bulk knitted fabric supply, discuss mixed articles and separate delivery releases early. Our export and delivery planning page outlines the information to include in the initial enquiry.

8. Use the same list during receiving

Check package counts and visible condition on arrival, then reconcile roll identities and quantities through the agreed receiving procedure. Record discrepancies against specific roll or package numbers. Keep photographs and measurements with the record where they help the supplier investigate a difference.

The fabric roll packing list is an identification and quantity document; it does not replace material inspection or laboratory reports. Keep the quality checklist alongside it, and make the release-to-cut decision under your normal approval process.

Fabric roll packing list: buyer questions

Is a packing list the same as an invoice?

No. It describes the packed goods and their quantities. Reconcile the documents using shared order and shipment references, while retaining their separate purposes.

What fields should I request for each roll?

Start with roll ID, article, colour, lot, net quantity and unit. Add package ID, dimensions and specification references according to the receiving and transport workflow.

Can a container include several fabrics?

Discuss the proposed combination and packing plan with the supplier and forwarder. Keep each article, colour and lot identifiable rather than treating the load as one undifferentiated quantity.
